Recipient types

All recipients found either in the directory or in message tracking files are split up into types, and stored into the database.

Types of recipients found in the directory, or created by Promodag Reports

Recipient types Description Comment
Mailbox
  1. The recipient was found in the directory.
  2. It was identified as a mailbox.
Messages received by or sent by these recipients are imported by selecting User traffic (see Data source: Message tracking).
Distribution group (formerly called Public distribution list)
  1. The recipient was found in the directory.
  2. It was identified as a distribution group.
Messages sent by internal recipients to these recipients are imported by selecting User traffic (see Data source: Message tracking).
Dynamic distribution group
  1. The recipient was found in the directory.
  2. It was identified as a dynamic distribution group, i.e. a query-based distribution group.
Messages sent by internal recipients to these recipients are imported by selecting User traffic (see Data source: Message tracking).
Public folder
  1. The recipient was found in the directory.
  2. It was identified as a public folder.
Messages received by or sent by these recipients are imported by selecting User traffic (see Data source: Message tracking).
Mail contact (Custom recipient)
  1. The recipient was found in the directory.
  2. It was identified as a mail contact.
Messages sent by internal recipients to these recipients, and received from them, are imported by selecting User traffic (see Data source: Message tracking).
Directory replication agent
  1. The recipient was found in the directory.
  2. It was identified as a directory replication agent. This is a legacy Exchange 5.5 recipient type associated with server directory objects.
Messages received by or sent by these recipients are imported by selecting Directory replication (see Data source: Message tracking).
Directory synchronization agent
  1. The recipient was found in the directory.
  2. It was identified as a directory synchronization agent. This is a legacy Exchange 5.5 recipient type used for directory synchronization with MS Mail.
Messages received by or sent by these recipients are imported by selecting Directory synchronization (see Data source: Message tracking).
Public folder replication agent
  1. The recipient was found in the directory.
  2. It was identified as a public folder replication agent. It is associated with public folder information store objects.
Messages received by or sent by these recipients are imported by selecting Public folder replication (see Data source: Message tracking).
System attendant
  1. The recipient was found in the directory.
  2. It was identified as a system attendant mailbox. The System Attendant mailbox is created with the System Attendant service during the Exchange installation process.
Messages received by or sent by these recipients are imported by selecting System attendant (see Data source: Message tracking).
SMTP mailbox
  1. The recipient was found in the directory.
  2. It was identified as a SMTP mailbox. Every private mailbox store contains an SMTP mailbox to store temporary messages. The SMTP mailbox is generated when the private information store is created and mounted.
Messages received by or sent by these recipients are imported by selecting User traffic (see Data source: Message tracking).
System mailbox
  1. The recipient was found in the directory.
  2. It was identified as an Exchange SystemMailbox. Every private information store in Exchange Server 2003 has one SystemMailbox. The SystemMailbox is created during the private information store creation process and will be deleted when the information store is deleted.
 
Local postmaster PROMODAG Reports creates one postmaster recipient per 'local' SMTP domain during directory import.  
Other system recipient Other recipient having an X500 address (legacyExchangeDN) in the configuration container (/O=Org Name/OU=Admin Group/CN=Configuration) will have this recipient type.  

Types of recipients found in message tracking files

Recipient types Description Comment
Unknown Exchange recipient The format of the recipient's address in message tracking files is X500, i.e. a legacy Exchange address (/O=Org Name/OU=Admin Group/CN=Recipient/CN=mailNickname). The organization name is the same as the analyzed organization.

This legacy Exchange address was not found in the database but directory import has not been run yet.

During directory import, those unknown Exchange recipients may either become

  • a mailbox, a distribution group, a public folder, a dynamic distribution group, or
  • An Exchange recipient not found (see below), or
  • An unknown recipient type (see below).
Messages received by or sent by these recipients are imported by selecting User traffic (see Data source: Message tracking).
Exchange recipient not found
  1. The format of the recipient's address in message tracking files is X500, i.e. a legacy Exchange address (/O=Org Name/OU=Admin Group/CN=Recipient/CN=mailNickname).
  2. The organization name is the same as the analyzed organization.

This legacy Exchange address was not found in the directory when the database was last updated.

This type would be assigned to recipients whose addresses were found in message tracking files, but that do no longer exist in the directory.

Messages received by or sent by these recipients are imported by selecting User traffic (see Data source: Message tracking).
Unknown recipient type
  1. The format of the recipient's address in message tracking files is X500, i.e. a legacy Exchange address (/O=Org Name/OU=Admin Group/CN=Recipient/CN=mailNickname).
  2. The organization name is the same as the analyzed organization.

This legacy Exchange address was searched and found in the directory when the database was last updated. However, Promodag Reports cannot identify this recipient type.

Note: Please contact the support team if Promodag Reports should detect such a recipient type in your organization.

Messages received by or sent by these recipients are imported by selecting User traffic (see Data source: Message tracking).
Unknown recipient in local domain
  1. The format of the recipient's address in message tracking files is SMTP.
  2. This SMTP address belongs to a SMTP domain for which the Exchange organization is authoritative (a 'local domain').
  3. However, the recipient was not found in the directory.

This type can be assigned, for example, to recipients whose SMTP addresses are linked to applications and devices sending notifications, but for which no mailbox was created (fax, backup software...), or to fake addresses spoofing your SMTP domain name. This recipient type is associated to the Local domain address type.

Messages received by or sent by these recipients are imported by selecting User traffic (see Data source: Message tracking).
DSN sender or no sender Up to Exchange 2003, this type is assigned to a recipient whose address was found to be empty ('<>') in message tracking files. However, experience shows that a vast majority of messages sent by such a recipient are Delivery Status Notifications (DSN) and this is the reason why this category was given this name. From Exchange 2007 onwards, the address of this system agent is 'Microsoft Outlook'.

This recipient type is associated to the DSN address type.

Messages sent by this recipient are imported by selecting User traffic (see Data source: Message tracking).
External recipient All other recipients found in message tracking files will have this recipient type. Messages sent by internal recipients to these recipients, and received from them, are imported by selecting User traffic (see Data source: Message tracking).
