Previewing, exporting, publishing and e-mailing reports

A report can either be previewed on screen, exported to various file formats, published to a SharePoint document library or automatically attached to an e-mail and sent to a recipient of your choice.

Previewing reports

The default output is 'Screen'. It is recommended to use it when generating a report for the first time, so that you can reload your options and adapt them if necessary.

Should you need to automate a report by including it in a batch file, you will have to select another destination than Screen in the Output tab, e.g. Disk file or Email recipient. Screen output is not available for automated reports.

Exporting reports

Use the File > Export Report option once the report is available for preview on screen.

Available formats

Reports can be exported to different file formats: CSV, PDF, XLS, XLSX, RTF, HTML, MHT.

Format Extension Comments
CSV (Coma Separated Value text) CSV Use this format to import files into Excel. It is particularly easy to handle, for instance in Excel pivot tables.
Portable Doc Format PDF Use this format to send reports to an e-mail recipient.
Excel 2000-2003 XLS The XLS export format is the default file format for the 2003 version of Excel and older. It is a proprietary binary format. The size of an XLS worksheet is limited to 65,536 rows.
Excel 2007 XLSX The XLS export format is the default file format for versions of Excel since 2007. It is based on Office Open XML format. The size of an XLSX worksheet is limited to 1,048,576 rows.
Rich Text RTF This file format can be read using most word processing software.
HTML HTM Use this format to export reports to your Intranet.
Web Archive MHT Web page archive format used to combine resources that are typically represented by external links, such as images, together with HTML code into a single file.
Print Document PRNX Use this format to export reports to the \Saved Reports folder. You will be able to view them by using the My Snapshots menu. For more information about the \Saved Reports location, see Default paths for installation and settings.

Exporting reports without overwriting older ones

Insert a date in the 'File name' or 'Destination' fields, so that newer reports are created with a different name or saved in a different folder.

E-mailing reports

All reports can be emailed to specific recipients, by selecting the Email output option. Moreover, the Individual reports tab allows you to email reports to all mailboxes selected in the report.
